The (Insert Name of Agency, Division, Branch, etc.) has a need to procure services to (wording from Statement of Work).
A Request for Proposals (RFP) for these services is expected to be distributed on or about (Insert Date), and your company has been identified as an eligible bidder through the (Insert Title of Schedule) Schedule.
Request that you respond to (Insert Name of Point of Contract), at (Insert Agency, Division, Branch, etc.) via e-mail as to whether your company would like to receive a copy of the RFP. Please provide an address as to where the Request for Proposal should be e-mailed, your point of contact, his/her telephone number, fax number, and mailing address.
If no response to this inquiry is received by COB (Insert Date), it will be assumed your company is not interested in competing for the award.
